How we collect your data

We collect registration data, containing personal data, via a third-party registrations provider, RegFox. Their privacy policy may be viewed here.

What data we collect

We collect personally identifying information, including that around your identity, contact information, and medical data.

We do not receive or store your payment information, as this is stored by RegFox, our registrations provider, and processed by our secure payment processing platform, Stripe.

Why we collect this data

We collect this data so that we can plan accordingly for the event, and for each attendee’s needs.

Who we share your data with

RegFox stores a primary database of your data, however we may use ancillary cloud storage platforms for further planning. We use MailChimp for contacting our registrants via email, and may use similar platforms for SMS over the course of our event.

During the organisation of our event, we may also be required to disclose registrants’ information to third parties providing services to the conference, such as those running day trips or providing catering. This will be provided in a considered manner, provided we are satisfied that the disclosure is necessary.

For those registrants who opt to share their name to the “Who’s Coming’ list during registration, their name and state of residence may be published to our publicly viewable website. If you change your mind, please contact us to be removed from this list.

How long we retain your data

At minimum, your data will be retained for the duration of the event’s organisation and operational period. After the conference has wound up, your data will be expunged from our third-party providers and deleted where possible, excluding any data we are obliged to keep for administrative, legal, or security purposes.

What rights you have over your data

If you have registered to attend, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. Upon cancellation of a registration, you can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
